What You Should Never Share with Muse (or Any AI): A Safety Guide

AI assistants are useful with context, which creates a temptation: paste the whole message, upload the complete document, or copy an entire customer record.
Stop first. Muse rarely needs the most sensitive detail. A name can become "Customer A," an account number can disappear, and a long contract can become a short summary. Give the assistant only what the task requires.
This guide uses a simple rule: share the situation, not the secrets.
Never paste passwords or access codes
Do not share:
- Passwords for email, banking, social media, booking systems, or business accounts
- One-time codes sent by text or email
- Recovery codes or answers to security questions
- Private keys, access tokens, or full login links meant only for one person
Muse does not need a password to organize a schedule or draft a message. If one was shared by mistake, change it, sign out other sessions where possible, and turn on multi-factor authentication. A one-time code belongs only in the official sign-in screen asking for it.
Keep full financial numbers out of prompts
Never enter a complete:
- Credit or debit card number, expiration date, and security code
- Bank account or routing number
- Online payment login
- Tax identification number used to access accounts
- Loan or payroll record containing several private identifiers together
Muse can still help with money tasks using safer information. Paste the amount, due date, and type of expense without the account number. Ask for a budget category, a payment reminder, or a summary of totals. If a full card number was exposed, contact the card issuer promptly and follow its instructions.
Treat Social Security and identity numbers as off-limits
Do not type a full Social Security number, driver's license number, passport number, or similar identity document number into an AI chat. The same caution applies to birth dates combined with names and addresses, because several ordinary details together can identify a person.
Need help with a form? Describe the section in general terms. Need a letter corrected? Replace the number with [ID NUMBER]. The wording can be reviewed without exposing the value that could be used for identity theft.
Protect customers, employees, and patients
A business can create privacy problems even when its own information is handled carefully. Avoid pasting:
- Customer lists with full names, phone numbers, email addresses, and purchase histories together
- Private messages that reveal health, family, financial, or legal problems
- Employee records, home addresses, schedules tied to personal circumstances, or disciplinary details
- Appointment notes containing medical or other sensitive personal information
- Photos of documents, IDs, checks, or screens filled with private records
Use labels instead: Customer A, Customer B, a first name only when necessary, or a general description such as "a repeat customer with a Friday appointment." Remove phone numbers and email addresses before asking for help with wording.
Customers shared that information for a specific purpose—not for copying into unrelated tools. Respecting that trust is part of running the business well.
Be careful with contracts and private business terms
A contract may contain prices, penalties, private negotiations, trade details, or personal information. Uploading or pasting the entire document is rarely necessary.
Safer options include:
- Summarize the question in plain language without names or amounts.
- Paste only the paragraph that needs explaining, after removing identifying details.
- Replace names with Company A and Company B.
- Round large figures or use ranges when the exact amount does not affect the wording task.
Also remember that AI is not a lawyer, accountant, or compliance officer. It can help prepare questions for a professional, but important contracts and disputes deserve qualified human review.
Use the "minimum useful information" test
Before pressing send, ask four questions:
- Does Muse need this exact detail to complete the task?
- Could a label, summary, or range work just as well?
- Does this text include information about another person?
- Would it cause harm if the wrong person saw it?
If the answer to the first question is no, remove the detail. If the answer to the last question is yes, stop and rewrite the request.
Examples:
- Instead of a customer's full name, phone number, and card details, write: "Draft a payment reminder for Customer A. Amount: [$]. Due date: [DATE]."
- Instead of an employee's complete record, write: "Help phrase a schedule change for a team member who works weekends."
- Instead of a private contract, write: "Explain what questions to ask about a cancellation clause in a vendor agreement."
The task remains clear. The exposure disappears.
Screenshots and documents need a quick check too
Private information often hides in the background: another customer's name, an email preview, an address, a notification, a signature, or an account reference.
Before uploading or pasting, crop the screenshot, cover private fields, remove unnecessary pages, and search for names, numbers, and email addresses that do not belong in the request.
The review-before-send rule
Safety does not end when Muse produces an answer. Read every customer-facing draft before it is sent. Check:
- The right person and the right business name
- Dates, times, prices, and totals
- Links and phone numbers
- Any promise about availability, refunds, results, or deadlines
- Attachments and copied text for private details
AI can sound confident while using the wrong date or a service that was never approved. Human review is the final lock on the door.
A safer way to work
Keep an approved business sheet with information that is safe to reuse: services, general policies, hours, location details, and standard descriptions. Keep passwords, identity numbers, payment data, and private customer records somewhere separate—and out of prompts entirely.
Muse can be powerful without receiving the keys to everything. Describe the job, protect what identifies people or unlocks accounts, and review the result.
